Please avoid including sensitive personal information or identifiable information about research participants in website enquiries.

Website information

Our website and its service providers may collect technical information, such as your IP address, browser and device information, pages requested, and the date and time of your visit.

We use Google Analytics to understand how visitors find and use our website. Depending on your choices and its configuration, this may include information about pages viewed, interactions and approximate location.

How we use your information

We use personal information to:

  • Respond to enquiries and discuss our services
  • Manage business relationships and relevant correspondence
  • Send newsletters and service updates you have requested
  • Understand and improve our website and communications
  • Maintain website security and investigate technical problems
  • Meet legal obligations and handle complaints or legal claims

Submitting an enquiry does not automatically subscribe you to our newsletter. Only newsletter signups are added to Zoho Campaigns for that purpose.

Our lawful bases

Under UK data protection law, we must have a lawful basis for using personal information.

Enquiries and business relationships: we normally rely on legitimate interests. These interests are responding to people who contact us, explaining our services and maintaining relevant business relationships. We consider whether our use is necessary and proportionate and balance it against your rights and reasonable expectations.

Where you personally ask us to take steps towards entering a contract with you, we may instead rely on taking steps at your request before entering into that contract.

Newsletters: we rely on your consent when you sign up. You can withdraw it at any time using the unsubscribe link in our newsletters or by contacting us.

Website security and administration: we rely on our legitimate interests in operating a secure, reliable website.

Google Analytics: we use consent for analytics cookies and associated personal information. You can change your choice through the website’s cookie controls.

Legal obligations: we may use or retain information where necessary to comply with an applicable legal obligation.

Legal claims: where relevant, we rely on our legitimate interests in establishing, exercising or defending legal claims.

Newsletter tracking

We use information about email opens and link clicks to understand engagement and improve future communications.

Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

Cookies and similar technologies

Cookies are small files stored on your device. Similar technologies can also store or access information on your device.

Our website may use cookies needed for essential functions and security. We also use Google Analytics cookies to help us understand website usage.

Optional Google Analytics cookies are used only after you accept them through our cookie controls. You can reject optional cookies or change your preferences later.

Who can access your information

Our team has access to enquiries and relevant business contact records to respond to you and manage our services. Access and use must be appropriate to team members’ responsibilities.

We use the following services to operate our website and manage communications:

Google AnalyticsWebsite usage analysis

Form submissions may also be stored within our website, depending on the Fluent Forms configuration.

We may disclose relevant information to professional advisers, regulators or other authorities where necessary to obtain advice, comply with the law or address legal claims.

Where information is processed

Our selected WP Engine hosting region is Europe, and our Zoho account uses a European data centre.

A European hosting location does not necessarily mean that all processing, support access or subcontractor activity takes place within Europe.

How long we keep information

We keep personal information only for as long as needed for its purpose.

Our standard retention periods are:

  • Enquiries that do not become client work: up to three years after the last meaningful contact.
  • Former-client relationship records: limited relationship history and relevant contact details for up to six years after the last project or meaningful contact.
  • Newsletter records: while you remain subscribed, subject to annual reviews of whether the information remains necessary and accurate.
  • Unsubscribe records: a minimal suppression record for as long as needed to respect your choice and prevent accidental re-subscription.

We review retained enquiry and relationship records annually and remove information sooner where it is no longer needed.

Relevant information may be retained longer where necessary to meet a specific legal obligation or address an ongoing complaint or legal claim. This does not mean we retain all correspondence indefinitely.

Keeping information secure

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure.

No website, email service or storage system can be guaranteed completely secure. Please contact us if you believe information you have provided has been compromised.

  • Ask for information to be deleted
  • Restrict how your information is used
  • Object to processing based on legitimate interests
  • Receive certain information in a portable format
  • Withdraw consent where we rely on it

You have the right to object to the use of your personal information for direct marketing at any time.

To exercise your rights, contact hello@impactfulevaluation.co.uk. We may need to confirm your identity before responding. We normally respond within one month, subject to extensions or other provisions permitted by law.

You do not have to provide personal information to browse our website. If you do not provide sufficient contact details, we may be unable to respond to an enquiry or send a requested newsletter.

Complaints

If you are unhappy with how we handle your personal information, email hello@impactfulevaluation.co.uk or write to our registered office. Please explain your concern and how we can contact you.
